Please read our terms and conditions carefully, when booking with Hunter Valley Group Tours it is assumed the customer acknowledges our terms and conditions and agrees to the terms.
General Terms And Conditions:
- A valid, government issued form of ID must be produced at the time of booking. All bookings must be made by someone over the age of 18 years.
- All activities advertised on Hunter Valley Group Tours packages are based on the assumption of availability.
- In the event of a vendor being fully booked for activities, transport, entertainment etc. we will substitute for another similar activity, transport, entertainment etc. at no extra cost.
- Venues may refuse access in the event that passengers are unable to present evidence of Identification or appear intoxicated. This is at the discretion of the venue and no refunds will be issued in such instances.
- We reserve the right to alter any part of the itinerary in the event that a venue, activity, transportation etc. is booked. Clients will be notified of itinerary changes. Extra charges do not apply for changes to the itinerary made by Hunter Valley Group Tours. Additional charges may apply for customer request to change itinerary.
- Responsible eating and drinking on board transport vehicles are allowed.
- Guests are recommended to be on their best behavior when visiting venue. Hunter Valley Group Tours maintains close relationships with its tour partners and other tour operators, any misbehavior complaints which harm the reputation of Hunter Valley Group Tours may result in guests being suspended from future bookings with Hunter Valley Group Tours.
- Fines attracted for failing to wear seatbelts where applicable must be paid for by guests.
Pick-up & Tour Conduct Conditions
- Pick-Up and drop-off locations must be confirmed a minimum of 4 weeks prior to the booking date.
- Guests must be at the pickup point of choice at the time agreed between guests and Hunter Valley Group Tours. Late arrivals by passengers can result in delays in attending to the booking and the risk of bookings being cancelled by the venue for no-shows. No refunds will be issued in such instances.
- Guests must be aware of time management in regard to stops along the way to their venues, eg, unplanned bathroom stops etc. If additional stops result in delays in attending to the booking or a booking being cancelled no refunds will be issued in these instances.
- No refunds apply for any delays caused by the lateness of guests. All venues reserve the right to refuse entry if the group is late, as they will need to attend to other on-time bookings. No-shows will not be refunded.
- It is the responsibility of guests to inform venue(s), transportation, activities etc of late arrivals.
- Smoking is not permitted in vehicles or inside venues (including the use of e-cigarettes/vapes)
- No BYO food or drink is allowed in venues.
- Customers are responsible for any damage inflicted on any venue, activity, transportation etc.
- The customer acknowledges that transport companies may require a non-refundable deposit or bond.
- Hunter Valley Group Tours, transport companies, venues and activities etc will not accept obnoxious intoxicated behavior that may disrupt their flow of services.
- No refunds will be given to customers in the event the tour is stopped as a result of severe customer misconduct.
- Hunter Valley Group Tours will require a $500 non-refundable deposit or bond. The amount of the non-refundable deposit or bond may vary depending on the package selected.
- It is the responsibility of the customer to research the terms and conditions of any third party transport companies, venues and activities etc and abide by their terms and conditions.
Pricing & Payment
- All prices are in Australian Dollar currency (AUD) and are inclusive of goods and services tax (GST).
- A $500 deposit is required to secure a booking date. Our tour dates are high in demand, a tour is only confirmed once payment is made with proof of payment provided. The amount of the non-refundable deposit or bond may vary depending on the package selected.
- Full payment must be made to secure a Private Tour booking a minimum of 1 week prior to the package date. This is to ensure that there is sufficient time to make bookings and pre-payments with the wineries.
- We accept Electronic Fund Transfer Payments (EFT).
Cancellation & Refund Policy
- Deposits are non refundable.
- All cancellation requests must be sent in writing (email) for us to process a refund if the full amount has already been paid, minus any security deposits to entertainment, transport, vendors etc paid.
- Cancellations made 12 hours after payment are subject to a 10% fee of the total booking fee.
· A 50% refund is issued to any bookings canceled after 12 hours of payment but 7 days before the booking date if the full amount has already been paid, minus any security deposits to entertainment, transport, vendors etc paid.
- No refund is issued for any bookings canceled within 7 days of the confirmed booking date. Please note that our packages are very high in demand and limited spots are available for our bookings. Cancellations result in high administration and transport, entertainment, booking etc costs on our end as the booking agency and the entertainment, transport, vendors etc who make necessary reservations. Cancellations also result in other clients who registered for interest for that specific date and time allocation that we are unable to cater for.
- Refunds are usually instant via OSKO pay but can take 3-5 business depending on your bank account.
- Dates and times can’t be swapped. A $150 rebooking fee will be applied for any package bookings that need to change dates. This is to cover the administration costs involved and any cancellation fees that may be charged to us by entertainment, transport, vendors etc.
- Reduced numbers in group bookings will not be refunded unless advised 2 weeks prior to the tour date. When reducing numbers, the passenger count must stay above the minimum passenger amount on the customers chosen package.
- Guests must be at the pickup point of choice at the time agreed between guests and Hunter Valley Group Tours. Late arrivals by passengers can result in delays in attending to the booking and the risk of bookings being canceled by the entertainment, transport, vendors etc for no-shows. No refunds apply for any delays caused by the lateness of guests. The entertainment, transport, vendors etc also reserve the right to refuse us if we are late, as they will need to attend to other on-time bookings. No-shows will not be refunded.
- It is the guests’ responsibility to call entertainment, transport, vendors etc and advise of any late arrivals to a booking.
Overtime Policy
- A full-day tour is 6 hours from pickup time example – pick up guests at 10 am, and drop off guests at 4 pm, unless otherwise agreed upon by Hunter Valley Group Tours and the customer.
- Overtime charges begin after 6 hours from tour pickup time and are charged at $250 for every hour, plus overtime rates for vendors in the selected package.
- Guests are recommended to use toilets at venues whenever possible to avoid unnecessary toilet stops which may disrupt the tour duration. If the customer suspects they need extra travel time for additional toilet stops, it is the responsibility to communicate that need to Hunter Valley Group Tours prior to the booking of packages, so we can structure the itinerary accordingly.
- Additional unplanned stops (McDonalds, smoke breaks, bottle shop stops) are only allowed at the discretion of the driver. If unplanned stops cause the group to arrive late at a venue it will not be refunded.
Cleanliness & Damage Policy
- Vehicles and/or venues that are left in an unclean state at the end of the tour may attract cleaning fees, this will depend on the severity of the mess left behind and can range from $80 up to $1000.
- It is up to the discretion of the transport provider whether passengers are allowed to eat and drink on board the vehicles. If allowed, it is recommended to do so responsibly to avoid any spills or mess.
- High penalties apply for vehicles that have been smoked in. Smoking in any vehicle will result in loss of any security deposit paid to Hunter Valley Group Tours and the transport company. This is due to the vehicle needing to undergo ozone treatment and full detailing
- Guests are liable for any damage caused to tour vehicles. An additional $500 charge on top of repair costs applies for administration and transport costs in the event of a tour vehicle requiring cosmetic repairs.
